We are looking for a detail-oriented and reliable Virtual Assistant to support the Marketing Executive of a fast-growing global business.


The primary goal of this role is to take ownership of execution and structured reporting, helping free up the Marketing Executive to focus on insights, strategy, and decision-making.


This is a hands-on role suited for someone comfortable working with data, but more importantly, who excels in organizing, maintaining, and executing tasks with accuracy and consistency.


Key Responsibilities:

1. Reporting & Data Preparation (Primary Focus)

- Pull and organize data from platforms such as Klaviyo, GA4, and Algolia

- Prepare weekly and monthly performance reports

- Maintain and update spreadsheets and reporting dashboards

- Track and document A/B tests in a structured and consistent format

- Ensure data accuracy and completeness for decision-making

Note: This role supports analysis by preparing and structuring data, rather than interpreting it.


2. Email Marketing Execution (Klaviyo)

- Build and schedule email campaigns in Klaviyo

- Implement segmentation based on predefined logic (e.g., lifecycle, RFM)

- Assist in uploading and formatting email content

- Support campaign QA to ensure accuracy before sending


3. CMS & Website Updates

- Update and manage content on a bespoke CMS (with migration to Shopify planned)

- Execute page updates, uploads, and formatting changes

- Ensure consistency and accuracy across a large product catalog


4. Additional Support

- Assist with general marketing execution tasks

- Support data organization and clean-up projects

- Handle ad-hoc tasks to improve workflow efficiency


Ideal Candidate Profile

- Core Skills (Must-Have)

- Strong data handling and organization skills (comfortable working with spreadsheets and structured data)

- High level of attention to detail and accuracy

- Strong English communication skills

- Ability to follow processes while maintaining consistency


Mindset & Work Style

- Detail-oriented – spots inconsistencies and ensures data accuracy

- Reliable & structured – able to manage recurring tasks and reporting cycles

- Proactive – able to flag issues or inconsistencies early

- Comfortable working in a process-driven environment


Nice to Have (Not Required)

- Experience with Klaviyo

- Familiarity with GA4 or similar analytics tools

- Experience with CMS platforms (Shopify or custom CMS)

- Basic understanding of marketing metrics or reporting


Working Setup

- Schedule: Full-time, aligned with UK business hours


Training:

- Direct guidance from the Marketing Executive

- SOPs and processes will be provided and refined over time

- Access to relevant training resources as needed
