Descrição:

The Admin Team Leader is responsible for overseeing day-to-day administrative functions and ensuring all operational, logistical, and regulatory support is carried out efficiently and professionally. This includes supervising the admin team and managing critical administrative tasks such as Visa and AEP processing, business permit renewals, flight and travel arrangements for top management, and welcoming and onboarding foreign employees.


  • Supervise and lead the admin team, ensuring smooth office operations and effective delivery of administrative services.
  • Process and monitor Visa applications (e.g., 9G, SWP, 47a2) and Alien Employment Permits (AEP) for foreign employees, ensuring full compliance with immigration and labor regulations.
  • Coordinate directly with government agencies such as the Bureau of Immigration, DOLE, SEC, LGUs, and other relevant bodies for timely processing and renewals.
  • Manage the renewal of business permits, mayor’s permits, and other licenses essential to company operations.
  • Maintain an accurate tracker of all permit and visa expiration dates, ensuring timely filing and renewals.
  • Arrange flight schedules, travel itineraries, and accommodation for top management, ensuring convenience, cost-efficiency, and timeliness.
  • Take the lead in welcoming foreign (alien) employees upon arrival, including airport pickup coordination, orientation, temporary accommodation, and familiarization with local office protocols.
  • Maintain accurate records and proper filing (both digital and physical) of all administrative, legal, and personnel-related documents.
  • Handle office procurement, monitor supply inventories, and coordinate with vendors and suppliers.
  • Coordinate logistics for company events, meetings, and internal communications.
  • Mentor and evaluate admin staff performance, providing guidance and support for development.
  • Prepare periodic reports related to administrative activities, permits, and compliance matters.

Requisito

  • Bachelor's degree in Business Administration, Office Management, or related field.
  • Minimum of 2–3 years experience in an administrative or supervisory role.
  • Hands-on experience in Visa and AEP processing and business permit renewals is required.
  • Strong coordination and relationship-building skills, especially with government offices.
  • Proficiency in MS Office applications (Excel, Word, Outlook, PowerPoint).
  • Excellent organization, multitasking, and problem-solving abilities.
  • Strong verbal and written communication skills, both in English and Filipino.
  • Professional, trustworthy, and capable of handling confidential matters.
