Key Responsibilities

  • Communication & Correspondence: Answering phones, taking messages, directing calls, handling incoming and outgoing mail, and drafting professional emails and memos. 
  • Scheduling & Calendars: Managing calendars, scheduling meetings, coordinating events, and arranging staff travel. 
  • Document Management: Preparing, editing, and proofreading documents, reports, and presentations; maintaining organized physical and electronic filing systems. 
  • Database & File Management: Creating and updating databases, managing contact lists, and ensuring that records and files are easily accessible. 
  • Office Operations: Tracking and ordering office supplies, ensuring equipment maintenance, and providing general support to office staff and visitors. 
  • Financial Support: Performing basic bookkeeping, processing expense reports, and assisting with budget management. 


Essential Skills

  • Organization & Planning: The ability to manage complex schedules, organize files, and coordinate multiple tasks efficiently. 
  • Communication: Strong written and verbal communication skills for interacting with clients, visitors, and colleagues. 
  • Technical Proficiency: Competence in using computers for word processing, creating presentations, managing databases, and using office software. 
  • Adaptability: The ability to multitask and adapt to the changing needs of a dynamic office environment. 
  • Attention to Detail: Diligence in maintaining accurate records, proofreading documents, and managing office supplies.
