We are looking for an Engineer with a strong background in both technical operations and property management. The ideal candidate should have experience in overseeing building systems, maintenance, and facilities management while ensuring compliance with industry standards. Strong problem-solving skills and the ability to manage multiple properties efficiently are essential.



Major Responsibilities: 

Management of the following areas essential in Property Management:

  1. Office Administration for FMD (35%)
  • Ensure that helpdesks perform and complete necessary administrative tasks such as (but not limited to) billing summary creation, budget monitoring, office supplies inventory, materials requisition, etc.
  • Ensure that all operational trackers are updated regularly
  • Proofreads various correspondences prior its release
  • Responsible in coordinating with the Legal Department for the creation, review, signing and execution of all contracts related to the Facilities Management group
  • Initiate release of Customer Satisfaction (CSAT) questionnaire to concerned groups and perform gap analysis
  • Responsible in coordinating with Marketing Department for all items concerning Branding
  • Support Quality Management System initiatives of the group
  • Management of maintenance and documentary processing of all vehicles assigned.
  • Manage Housekeeping and Landscaping Operations on the facilities assigned
  • Take lead on office related operations: Office Planning, Implementation of Houserules, Office environment improvement and upkeep.
  • Find & suggest ways to improve general administrative processes

2. Office Administration for clients (35%)

  • Ensure that helpdesks perform and complete necessary administrative tasks such as (but not limited to) billing summary creation, budget monitoring, office supplies inventory, materials requisition, etc. for clients 
  • Provide immediate customer relations support to clients encountering complaints to the concerned departments 

3.Insurance and Permits Monitoring and Management (20%)

  • Ensure that records related to insurances and permits are filed and documented properly 
  • Work hand in hand with the Insurance Brokers to meet the insurance requirements of the clients 
  • Support other activities related to insurance matters such as appraisals, documents processing, etc. 
  • Provide assistance to clients in securing all necessary regulatory permits, including documentary requirements 
  • Monitor permits compliance of all FMD-managed sites 
  • Provide notification to clients for permits renewal as necessary 
  • Submission of Incident Report within 24-hours from the occurrence of the incident and initiating discussion until the report was closed.

 4. Hard Services

  • Ensure compliance with the 52-week PM schedules and ensure the use/implementation of Equipment PM forms/checklist.
  • Conduct routine safety checks and inspections of equipment and facilities. 
  • Oversee the daily operations of building systems, including electrical, plumbing, fire protection, air conditioning and elevators, chillers, cooling tower and pumps.
  • Guide and supervise Facilities Technician's and vendor’s activities
  • Oversee Hard Services for the upkeep of minor/major onsite repairs, fit outs.
  • Prepares daily/weekly/monthly maintenance report such as Utilities updating, Equipment uptime, Waste monitoring and incident reports.
  • Monitor & maintain inventory of tools and engineering consumables.
  • Ensure that regulatory permits are up to date such as PTO permits and FSIC permits. 
  • Submission of monthly compliance report to PCO such as Utilities, Genset fuel monitoring, STP test results
  • Conduct asset inventory and monitor asset movement. 

5. Reports and Others (10%)

  • Perform such other related duties as directed by his/her superiors or agreed upon from time to time.
  • Submission of reports.
  • Provide assistance to properly accomplish Special projects assigned to the team.

 

Professional Experience: 

  • Must have at least two (3) years of experience in handling administrative tasks 
  • With advanced knowledge on People Management 

With good to excellent experience on Customer Relations 

 

Skills Required:

  • Excellent communication skills and the ability to interact effectively
  • Has the ability to plan and organize efficiently including prioritizing tasks correctly, planning proper use of resources, and scheduling activities for optimal outcomes
  • Attention to every detail.
  • Knowledgeable on the usage of MS Teams and MS Office.
  • Knowledgeable on creation of formal documents (letters, memorandum, etc.)
  • Team management
  • Workload management

Supervises:

- Overall Facilities and Property Management for NCR Sites (Head Office, Holdco, and MyEnzo Showroom).

- Hard and Soft services as to what is needed onsite particularly finance, engineering, administrative, security, safety, and vendor management. 

-Project development on his managed services or as delegated or needed by the operations.
