Key Responsibilities:

1. Procurement and Documentation

  • Source and procure vehicle parts, materials, and services required for company service vehicles.
  • Prepare purchase requests, canvasses, and other procurement documents for approval.
  • Maintain records of supplier quotations, purchase orders, and deliveries.
  • Coordinate with the Accounting Department for payment processing and documentation of expenses.

2. Fleet Coordination and Dispatching

  • Assign and dispatch company service vehicles and drivers based on daily operational requirements.
  • Monitor vehicle usage, mileage, and fuel consumption.
  • Maintain an updated logbook or database of vehicle movements and driver schedules.
  • Ensure that vehicles are properly maintained and scheduled for servicing or repairs.

3. Administrative Support

  • Prepare and submit periodic reports on vehicle utilization and procurement activities.
  • Assist in the renewal of vehicle registrations, insurance, and related documentation.
  • Ensure compliance with company policies and safety procedures.
  • Support other administrative and logistical tasks as may be assigned.



Job Requirements

  • Bachelor’s degree in Business Administration, Office Management, Logistics, or any related field.
  • At least 1 year of experience in procurement, logistics, or fleet management (preferred).
  • Knowledge of vehicle parts and maintenance procedures is an advantage.
  • Proficient in MS Office (Word, Excel) and basic record-keeping.
  • Strong organizational, communication, and multitasking skills.
  • Must be reliable, proactive, and detail-oriented.
