A Purchasing Assistant supports procurement by handling administrative tasks, managing supplier relationships, placing orders, tracking shipments, and assisting with inventory and vendor negotiations to secure the best prices and timely deliveries for a company's goods and services. They are vital for maintaining the efficiency of the supply chain and often interact with various internal departments and external vendors, requiring strong communication, computer, and analytical skills. 


Responsibilities

  • Vendor Management: Communicating with and maintaining good relationships with suppliers, preparing bid packages, and assisting in contract reviews. 
  • Order Processing: Preparing purchase orders, tracking inventory, and monitoring sales trends to ensure necessary products are stocked. 
  • Logistics and Delivery: Tracking shipments and ensuring timely delivery of goods and services to the company. 
  • Cost Management: Researching and comparing prices, negotiating with vendors, and contributing to initiatives to keep costs down. 
  • Administrative Tasks: Handling accounts payable, maintaining supplier records, and performing internet research related to procurement. 


Essential Skills

  • Communication: Excellent oral and written skills for interacting with internal teams and external suppliers. 
  • Computer Skills: Proficiency in spreadsheet and word processing applications, financial management software, and the ability to learn purchasing systems. 
  • Analytical Skills: The ability to analyze data, conduct market research, and contribute to cost-saving measures. 
  • Detail-Oriented: A strong focus on detail to ensure accuracy in orders, records, and logistics.
