About the Role

We're looking for a proactive, detail-oriented Sales Operations Coordinator to help scale our wholesale and field sales efforts at good light. This role blends sales support, operational coordination, and reporting, acting as a vital connection between our internal team, field reps, and retail partners. You'll help keep things organized behind the scenes while bringing structure to processes that positively impact the brand’s growth.


As part of a small, fast-paced team, we value initiative, resourcefulness, and clear communication. You should be confident navigating new tools (like Notion), juggling multiple projects, and bringing solutions forward when challenges arise.


What You’ll Do


Wholesale & Retail Admin + Logistics Support

  • Confirm and process POs from retail partners; update PO trackers.
  • Assist with onboarding new retail partners and compiling decks for retail reviews.
  • Maintain retail marketing calendars, campaign trackers, and weekly retail reports.
  • Coordinate with 3PL for order shipments, follow-ups, delivery confirmations, and labeling needs.
  • Support chargeback investigations: collect documentation, identify root causes, and escalate as needed.
  • Help prepare and send routine updates to retail partners including tracking and confirmations.
  • Track regulatory document submissions and assist in organizing compliance files and artwork reviews.
  • Share weekly summaries covering retail account status, open issues, wins, and upcoming priorities.


Admin & Account Management Support

  • Assist in onboarding and maintaining wholesale and retail partner accounts.- Prepare and send order confirmations, tracking info, and basic updates to partners.
  • Update and maintain line sheets, spec sheets, and wholesale data trackers.
  • Support routine account follow-ups and flag any partner requests or delivery issues.
  • Help coordinate deliverables such as launch assets, shelf strips, and promotional needs.
  • Marketing Calendar Coordination & Cross-Functional Support
  • Monitor the marketing calendar and flag upcoming campaigns to ensure timely field sales activation.
  • Liaise with the marketing team to ensure field reps have what they need for launches.
  • Coordinate marketing asset readiness and relay important deadlines or deliverables.
  • Surface any calendar misalignments or potential issues to Ana proactively to stay ahead of deadlines.
  • Ensure field activations align with retailer-specific promotions (e.g., retail seasonal pushes).


Field Sales Support & Scheduling

  • Coordinate field sales schedules and coverage based on retail calendars and seasonal activations.
  • Implement a check-in/check-out tracking system for field reps.
  • Serve as a liaison between field teams and internal operations to ensure everyone is aligned and activated.


Sales Reporting & Performance Tracking

  • Compile weekly performance reports for field activity, retail sales (e.g., Ulta), Faire, and Amazon.
  • Track promotional campaign impact, store-level performance, and weekly sell-through.
  • Support maintenance of weekly retail and sales ops reports (POs, AR, chargebacks, etc.).


Sales Toolkit & Launch Operations

  • Build and maintain a Field Sales Toolkit: brand decks, samples, GWP logistics, etc.
  • Ensure all launch assets and materials are shared and packed correctly for sales events.
  • Assist in creating SOPs and checklists in Notion to streamline field rep onboarding and execution.


Process & Retail Account Support

  • Help onboard new retail partners and assist in maintaining wholesale trackers, line sheets, and spec sheets.
  • Prepare and send order confirmations and tracking to retailers.
  • Coordinate deliverables such as shelf strips, PIM assets, and other marketing needs.


Communication & Coordination

  • Keep lines of communication open across 3PL, vendors, field reps, and internal teams. Surface blockers early, flag inconsistencies, and help resolve retail chargebacks and shipping issues.
  • Share end-of-week summaries with clear updates, follow-ups, and upcoming priorities.


Who You Are

  • A self-starter who thrives in fast-moving environments.
  • Organized and systems-savvy (bonus if you’ve used Notion, GSheets, Shopify, Faire, etc.).
  • Strong communicator who can chase details without dropping the ball.
  • Curious and solutions-oriented—you don’t just check boxes, you ask “why?” and “what else?”
  • Comfortable working independently, but know when to escalate.


Nice to Haves

  • Experience in sales operations, retail coordination, or customer/wholesale support (especially in beauty or CPG).
  • Familiarity with retail systems, PIM tools, and fulfillment processes.
  • Understanding of regulatory or compliance-related workflows is a bonus.
