Job Title: Service Contract & Payment Coordinator - Urgent

Position Overview

Crown Worldwide is seeking a detail-oriented and proactive Service Contract & Payment Coordinator to support our sales operations. This role is pivotal in managing service contracts (including SLAs) and overseeing outstanding payment management. The successful candidate will work with Microsoft Dynamics CRM to ensure that all contract details are accurately scanned, uploaded, and maintained, as well as generate timely reports on contracts due for review or renewal. You will collaborate closely with our Sales Team, Customer Service Team and Finance/Accounting Team to ensure effective client communication and contract management, driving client satisfaction and revenue assurance.

Key responsibilities for this position are as follows:

Outstanding Payment Management

  • Monitor and manage outstanding payments related to service contracts;

  • Coordinate with Sales Team, Customer Service Team and Finance/Accounting Team to follow up on overdue payments and resolve discrepancies;

  • Inform customers of outstanding payments on a daily basis to ensure all invoices are paid timely in compliance with the payment terms contractually agreed;

  • Update payment status into the Aging Report for account managers follow up;

  • Inform the account manager of those accounts regularly failing to make payments timely as contractually agreed. Advising the account manager of repeat offenders in order to take the appropriate course of action in a timely manner;

  • Send confirmation notice informing customers of new e-invoices after Accounting Team completes distribution of e-invoices to all customers;

  • Updating any changes to the existing contact lists of required persons receiving e-invoice notifications via email;

  • Prepare, collect and send invoice payment supporting documents to customers in cases where required to facilitate and speed up the payment process;

Service Contract Management

  • Scan, upload, and update all required service contract details into Microsoft Dynamics CRM.

  • Ensure data accuracy and timely updates of contract records in the system.

  • Maintain current and organized documentation for all active contracts, service level agreements (SLAs), and amendments.

Reporting & Analysis

  • Generate and review regular reports on contracts due for review, renewal, or escalation.

  • Identify trends or issues within the contract portfolio and provide actionable insights to the sales team.

  • Prepare detailed report summaries and present findings in team meetings.

Collaboration & Communication

  • Work closely with the sales team to ensure timely client follow-ups on contract renewals and reviews.

  • Serve as the point of contact for contract-related inquiries and provide exceptional customer service.

  • Assist in coordinating with cross-functional teams (e.g., finance, operations) to streamline contract and payment processes.

  • Seeks out and accepts feedback, is a proactive learner, takes on tough assignments to improve skills, keeps knowledge and skills up-to-date, turns mistakes into learning opportunities;

  • Bachelor’s degree in Business Administration, Finance, or a related field preferred;

  • Prior experience in contract management, payment administration, or a similar role is advantageous.
