Descrição:

The Hybrid Virtual Assistant will provide critical support to both the Funding (Documentation) and Credit departments within the equipment leasing and financing industry. This role ensures seamless coordination between document preparation, credit submissions, and client/vendor communications to maintain efficiency, compliance, and timely processing of transactions. 


Primary Tasks 

  • Generate and review lease and loan documents, ensuring accuracy and compliance with funding requirements. 
  • Prepare and submit credit packages to lenders in line with established guidelines. 
  • Verify completeness and accuracy of files before submission to facilitate smooth funding processes. 
  • Follow up with vendors, customers, and lenders regarding outstanding documentation, contingencies, or required information. 


Client Communication and Support 

  • Communicate with clients (via email or phone) to collect missing documentation and address inquiries about their applications. 
  • Manage vendor and lender follow-ups to ensure timely progression of transactions. 
  • Provide occasional customer support, including answering basic questions or coordinating between departments. 


Phone Inquiries, Scheduling, and Coordination 

  • Handle occasional inbound/outbound calls related to confirming receipt of documents or scheduling follow-ups. 
  • Assist in coordinating schedules and appointments between departments as needed. 
  • Industry Knowledge: Direct experience in the equipment leasing and financing industry (not mortgage, not residential leasing). Familiarity with terms such as FMV, EFAs, and leasing structures is highly desirable. 
  • Software Proficiency: Experience using Microsoft Dynamics CRM preferred for deal tracking, customer management, and lease document generation. Familiarity with DocuSign and other document preparation tools is beneficial. 
  • Attention to Detail: Strong ability to review and validate documentation for accuracy and compliance with credit and funding requirements. 
  • Flexibility: Ability to operate effectively across both Funding and Credit departments, stepping in where needed to ensure seamless operations. 


Experience and Background 

  • Previous experience in funding and documentation specific to equipment leasing and financing is required. 
  • Strong organizational skills, with the ability to prioritize tasks and manage multiple deadlines. 
  • Effective communication skills, both written and verbal, with a professional and client-focused approach.
