We are seeking a detail-oriented and tech-savvy Offshore Executive Assistant to provide remote support to senior executives in our Australian business. The ideal candidate can manage multiple priorities in a fast-paced environment, demonstrate discretion, and work independently while aligning with Australian business hours.

Key Responsibilities:

Administrative Support:

  • Record and manage corporate credit card expenses for the CEO and CFO, including proper filing of receipts.
  • Organize travel arrangements, including flights, accommodation, and itineraries.
  • Maintain accurate and confidential records and documentation.

Calendar & Email Management:

  • Manage executive calendars, schedule meetings, and coordinate appointments across multiple time zones.

Process Improvement:

  • Identify opportunities to streamline administrative processes and enhance operational efficiency.


Qualifications:

  • Proven experience as an Executive Assistant or Virtual Assistant supporting senior leaders.
  • Proficiency in Microsoft Office Suite, Google Workspace, and virtual collaboration tools (e.g., Zoom, Teams, Slack).
  • Experience supporting Australian or international clients.
  • Familiarity with Australian business culture and communication style.
  • Background in finance, legal, or professional services is a plus.


Personal Characteristics / Soft Skills:

  • Excellent written and verbal communication skills in English.
  • Strong organisational and time management abilities.
  • Ability to work independently and handle confidential information with discretion.
  • Flexibility to work Australian business hours.
